Documents
- Documents is an area to store files within an entity or report
- Files such as chart of accounts, trial balances, disclosures, custom Word documents and logos can be saved here
There are two storage areas, Entity documents and Report documents.
- Entity documents are available to all reports within an entity
- Report documents are available only within the current report
The following file types may be saved: BMP, DOC, DOCX, JPEG, JPG, PDF, PNG, TIF, TIFF, TXT, XLS, XLSX, CSV.
There is a 5 MB individual file size limit and 50 MB of space for all files, per report and per entity. The total space remaining is shown in the bottom right corner.
Files will be visible to all Administrators, Users and Reviewers. Only users with rights to documents will be able to upload new files and delete, rename, copy, move and paste existing files.
If a report is deleted, all documents for that report will also be deleted. If a report is duplicated, then the documents for the source report will also be duplicated in the new report.
If an entity is deleted, all documents for that entity will also be deleted, as well as all report documents for each report within that entity.
New folder
To create a new folder:
- Click Modules > Documents
- Click New folder
- Type a name for the folder
Upload files
To upload files:
- Click Modules > Documents
- Navigate to the folder to upload files to
- Click Upload files
- Select the file to be uploaded
- Alternatively, it is possible to drag and drop files directly into the documents file list
Download files
To download files:
- Click Modules > Documents
- Click the file to be downloaded (multiple can be selected by holding down SHIFT and clicking the files)
- Click Download files
- To download an individual file, double click the filename and it will be downloaded
Files will be downloaded to your default browser download location.
Cut, copy, paste files
To cut or copy files:
- Click Modules > Documents
- Select the files to cut or copy
- Click Cut or Copy
To paste the files:
- Click Modules > Documents
- Navigate to the destination folder
- Click Paste
Delete files
To delete files:
- Click Modules > Documents
- Select the files to be deleted
- Click Delete
- Once files are deleted there is no way of rolling the delete back to retrieve your files. Delete is permanent.
Rename files
To rename a file:
- Click Modules > Documents
- Select the file to be renamed
- Click Rename
- Type a new name for the file
- Press enter
- Note that file extensions cannot be changed (for example, you may not rename Example.xls to Example.txt)
